برامج تخطيط المشاريع
يمثل التخطيط في إدارة المشاريع من أهم الوظائف في أي مؤسسة لأنها تؤثر في نجاحها، فمن دون التخطيط السليم لا يمكن أن تقوم المؤسسة بالإعداد للمشاريع المستقبلية وتحقيق الديمومة؛ وعليه يجب على القائمين على المؤسسة أن يتعرفوا على الفرص الموجودة والتهديدات والمخاطر المحيطة ومن ثم عمل تخطيط لها للاستفادة ومواجهة التحديات في المستقبل.
عادة ما تعمل المؤسسات ضمن بيئة تنافسية من جهة وفي ظروف بيئية خارجة عن إرادتها لتقديم منتجاتها المتفردة، فإذا لم تقم المؤسسة بالتخطيط السليم ومتابعة حالة المشروع بأدوات وتقنيات مساعدة مثل برامج التخطيط فإنها ستصل إلى نتائج وخيمة ولذلك من أكثر المراحل أهمية في المشاريع عملية التخطيط الجيد، لذلك نجد أن الشركات تولي هذا الموضوع أهميته.
إن برامج تخطيط المشاريع المستخدمة في إدارة المشاريع عديدة وكثيرة ولكن قبل أن نبدأ في التخطيط وبرامجه علينا معرفة المشروع وإدارة المشاريع وأهمية إدارة المشاريع.
ما هو المشروع؟
هو مسعى مؤقت يتخذ من أجل الوصول إلى خدمة أو منتج أو نتيجة متفردة.
ماهي إدارة المشاريع؟
هي تطبيق المعرفة والمهارات والأدوات والتقنيات على أنشطة المشروع لتلبية متطلبات المشروع حيث إن إدارة المشاريع تمكن المؤسسات والشركات ونحوها من تنفيذ المشاريع بفعالية وكفاءة.
أهمية إدارة المشاريع:
تأتي أهمية إدارة المشاريع في التالي:
- تحقيق أهداف المؤسسة.
- تحقيق رغبات العميل.
- تسليم المنتج الصحيح.
- زيادة فرص النجاح.
- إدارة القيود (النطاق، الجودة، الجدول الزمني، التكاليف، الموارد) وتأثير موازنة القيود على المشروع.
- تخفيض درجة المخاطر وعدم التأكد.
تخطيط المشاريع:
من أهم المهارات التي يجب توافرها في القائمين على إدارة المشاريع هي مهارة التخطيط والتي تشكل 37 % – حسب الدراسات- من عوامل نجاح المشروعات، بينما 60 % من المشاريع تفشل بسبب عوامل بشرية و 3 % من المشاريع تفشل بسبب صعوبة التنفيذ، ومن هنا أتت أهمية الحاجة لبرامج تخطيط المشاريع.
التخطيط للمشروع هو أحد عمليات إدارة المشاريع بداية بتحديد نطاق المشروع وتقسيمها إلى أنشطة ومن ثم جدولة هذه الأنشطة وتحديد التبعيات المنطقية بين المهام مبينة المسار الحرج إن وجد وتخصيص الموارد وتقدير التكاليف لتصبح خطة قابلة للتنفيذ والتقييم والمراقبة.
من جهة أخرى يعتبر الخبراء خطة المشروع كخريطة طريق لأنشطة المشروع، وهي ضرورية لتحقيق معدل إنتاجية للمشروع وزيادة فرص النجاح، وهي حجر الأساس لاتصالات المشروع، وهي الأساس الذي يمكن من خلاله قياس التقدم. لذلك فالتخطيط الشامل للمشروع مطلوب لتقليل الكثير من انعدام اليقين الذي يحيط بتنفيذ المشروع.
ولأجل التغلب على العوامل البشرية وزيادة قوة مهارة التخطيط في إدارة المشاريع فـإن استخدام برامج إدارة المشاريع من الأدوات الفعالة وسهلة الاستخدام في إدارة المشاريع.
الفوائد العائدة على المؤسسات من برامج تخطيط المشاريع:
- تساعد في صياغة نطاق المشروع وجدولتها.
- تحديد المهام الرئيسية والفرعية وتنظيم الموارد لها وتحديد المسؤوليات سريعاً وسهولة مراقبتها.
- معرفة حالة المشروع (تقدمها أو تـأخرها عن الجدول الزمني).
- معرفة مهام الأشخاص وتوقيتها وتكلفتها.
- مراقبة سير العمل والتأخيرات، وإنهاء المشروع وتسليم المنتج في الوقت المحدد.
- يساعدك في تكامل الأعمال والمهام اللازمة للمشروع.
- رفع تقارير المشروع للإدارة العليا للمؤسسة في الوقت المناسب.
- سهولة التواصل بخصوص خطة المشروع.
